At Japan Outdoor Institute, we value your commitment to our services and rental items. We understand that unforeseen circumstances may require you to cancel your booking. This policy is designed to be clear, fair, and flexible, while ensuring the sustainability of our operations.

General Cancellation Schedule

1. Cancel 4 weeks or more in advance

• Refund: 75% of the total booking cost

2. Cancel 2–4 weeks in advance

• Refund: 50% of the total booking cost

3. Cancel within 2 weeks

• Refund: 25% of the total booking cost

4. Cancel within 1 week (7 days) or no-show

• No refund will be provided

Credit Toward Future Bookings

If you are unable to attend, retained amounts from your cancelled booking (excluding rental equipment costs) may be applied as credit toward a future service or course with Japan Outdoor Institute. This credit:

• Is valid for 12 months from the cancellation date

• Cannot be transferred to another person

• May be used in full or in part, and can be applied toward bookings of equal or greater value (price differences must be paid)

Force Majeure Policy

In the event of circumstances beyond our control (e.g. severe weather, natural disaster, government travel restrictions, etc.), Japan Outdoor Institute reserves the right to cancel or reschedule services. In such cases, customers will be offered a full refund or credit toward a future booking.

How to Cancel

To cancel your booking, please contact our customer support team as soon as possible via email or phone, using the contact details provided on our website. Include your full name, booking details, and reason for cancellation for prompt assistance.

 

Refund Processing Time

Eligible refunds will be processed within 10–15 business days to the original payment method. Refund amounts may be subject to bank or transaction fees.

Exceptions

Certain programs, courses, or rental items may have specific cancellation terms. In those cases, the terms outlined during booking will override this general policy.

CASI Course Cancellation and Transfer Policy

The following policy applies specifically to CASI certification programs and supersedes the general cancellation policy for these bookings.

All refund and transfer requests must be submitted in writing via email. Please include your full name, CASI member number, course date(s), and location(s). Allow up to 3 business days for processing.

⚠️ Note: CASI prohibits new registrations within 2 weeks of course start — no transfers allowed in this window.

Additional CASI Notes

• Transfers apply only to the same program in the same season. If a transfer isn't possible, the refund policy will apply automatically.

• Medical exceptions may be considered on a case-by-case basis with valid documentation.

• CASI membership dues are non-refundable, regardless of circumstance.

• Refunds are subject to a 4% transaction fee (or current platform charge).

• Member fees must be current. If your CASI membership is not up to date:

  • You will not be able to join the course

  • You will not be eligible for a refund

 

🔔 Important: Please ensure your CASI membership fees are paid before registering. If unpaid, and you show up for the course, you will not be permitted to participate and no refund will be issued.
